Administration Assistance Job Responsibilities:
Administrative Support:
- Answer and direct phone calls, emails, and other correspondence.
- Organize and schedule appointments and meetings.
- Prepare meeting agendas, take minutes, and distribute them.
- Write and distribute email, correspondence memos, letters, faxes, and forms.
Document Management:
- Develop and maintain a filing system for physical and digital records.
- Update and manage office policies and procedures.
- Handle sensitive information in a confidential manner.
- Prepare and edit documents, reports, and presentations.
Office Coordination:
- Order and maintain office supplies inventory.
- Arrange travel and accommodations for staff as needed.
- Coordinate office repairs and maintenance activities.
- Liaise with internal and external contacts to ensure office operations run smoothly.
Data Entry and Management:
- Enter data accurately into databases and systems.
- Generate and compile reports from various sources.
- Maintain and update contact lists.
Customer Service:
- Greet and assist visitors and clients in a professional manner.
- Handle customer inquiries and resolve complaints.
- Provide general support to visitors and staff.
Event Planning:
- Assist in planning and organizing company events and activities.
- Coordinate logistics for meetings, conferences, and training sessions.
Qualifications:
Education:
- High school diploma or equivalent.
- Additional qualifications in office administration or related fields are advantageous.
Experience:
- Previous experience as an administrative assistant or in a related role is preferred.
- Familiarity with office equipment and office management procedures.
Administration Assistance Skills:
- Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
- Excellent written and verbal communication skills.
- Strong organizational and multitasking abilities.
- Attention to detail and problem-solving skills.
- Ability to prioritize work and manage time effectively.
