Job Responsibilities:
Administrative Support:
- Answer and direct phone calls efficiently.
- Organize and schedule appointments and meetings.
- Plan and document detailed minutes of meetings.
- Draft and distribute emails, memos, letters, faxes, and forms.
- Assist in preparing regularly scheduled reports.
Document Management:
- Develop and maintain an organized filing system.
- Update and maintain office policies and procedures.
- Order office supplies and research potential deals and suppliers.
- Maintain comprehensive contact lists.
Data Entry:
- Enter and update data accurately in databases.
- Prepare and manage spreadsheets and detailed reports.
- Handle confidential information with discretion and integrity.
Office Coordination:
- Coordinate office procedures to ensure smooth operations.
- Assist in managing the office budget and track expenses.
- Ensure the office is tidy and equipped with necessary supplies and equipment.
Support to Staff:
- Provide administrative support to ensure efficient office operations.
- Support team members with their administrative needs.
- Handle requests and queries from senior managers promptly and effectively.
Customer Service:
- Serve as the point of contact for internal and external clients.
- Handle client inquiries and provide accurate and timely information.
- Assist in resolving any administrative issues that arise.
Travel Arrangements:
- Arrange travel for senior staff, including booking flights, cars, and hotel reservations.
- Prepare comprehensive travel itineraries.
Communication:
- Communicate effectively with vendors, clients, and stakeholders.
- Draft and edit correspondence, communications, presentations, and other documents.
Qualifications: Administration Assistant Job in UAE
Education:
- High school diploma or equivalent.
- Additional qualifications in office administration or related fields are advantageous.
Experience:
- Previous experience as an administrative assistant or in a related role is preferred.
- Familiarity with office equipment and office management procedures.
